Position Summary & Responsibilities:

Nebo Comfort is seeking a detail-oriented and organized Office Assistant to support our administrative operations. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a customer-centric attitude. This role involves managing daily office tasks, providing administrative support to our team, and ensuring smooth office operations.

Key Responsibilities:

    • Administrative Support: Assist with day-to-day administrative tasks including filing, data entry, and maintaining office supplies.
    • Customer Service: Handle incoming calls, emails, and inquiries, providing exceptional customer service and directing them to the appropriate department or personnel.
    • Scheduling: Coordinate and schedule appointments for HVAC service calls and maintenance.
    • Documentation: Prepare, maintain, and organize company documents and records, both physical and digital.
    • Communication: Assist in internal and external communications, including drafting and distributing memos, emails, and newsletters.
    • Billing and Invoicing: Support the finance department with billing, invoicing, and processing payments.
    • Office Management: Ensure the office environment is clean, organized, and welcoming for staff and visitors.
    • Team Collaboration: Work closely with other departments to facilitate smooth operations and support company objectives.

Qualifications:

  • Education: High school diploma or equivalent; some college coursework in business administration or related field is a plus.
  • Experience: Previous experience in an office or administrative role, preferably in the service industry.
  • Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Strong organizational and time management skills.
    • Excellent written and verbal communication skills.
    • Ability to multitask and prioritize tasks effectively.
